How to Use Collections in Appraisal Bureau

Create and manage Collections within your Portfolio

Collections help you organize your portfolio at a higher level. Each artwork can belong to one collection only, making collections ideal for grouping by owner, estate, gallery, exhibition, or personal categorization.

You can always add unlimited tags in addition to assigning a collection.

1. What Collections Are Used For

  • Separating artworks by client, estate, or entity

  • Grouping works by exhibition or acquisition

  • Organizing personal or business portfolios

  • Managing internal workflows (e.g. Pending Review, Archived Inventory)

2. How to Assign a Collection

You can assign an artwork to a collection in three ways.

When uploading an artwork:

  • In the upload form, select or create a collection

  • The artwork will be automatically grouped under that collection

From the artwork page:

  • Open the Artwork record

  • In the Collection field, select an existing collection or create a new one

In bulk from the Portfolio page:

  • Go to the Portfolio tab

  • Select multiple artworks

  • Click “Add to Collection”

  • Choose or create the collection you want to assign

  • All selected artworks will be moved to that collection

3. Collection Rules and Behavior

  • Each artwork can belong to only one collection at a time

  • Changing the collection will remove the artwork from its previous collection

  • Collections do not limit tagging — you can apply unlimited tags to any artwork regardless of its collection

4. Organizing with Collections vs Tags

  • Use collections for broad groupings and ownership structures

  • Use tags for flexible, detailed filters like medium, theme, or condition

  • Collections are exclusive (one per artwork); tags are additive and unlimited
